But, is ideal for everyone?

Infusionsoft is an excellent piece of software – but it has its limitations.

Some of the biggest problems we noted about the system include:
A hefty kickstart fee
Let’s face it, you’re going to need a CRM that suits your budget. Infusion soft offers three service levels (basic, pro, and premier), all at different rates. However, aside from your standard monthly fee, you’ll also need to pay a mandatory “kickstart” cost too.
This buys you the support of an official Infusionsoft consultant to come and help you “kickstart” your campaign. Though it’s helpful to have an expert on board, prices start at about $499, which is off-putting to most smaller businesses.
Infusionsoft swears that it’s deliverability rates are over 98%. However,
deliverability is something that can vary from one user to the next.
Because of this, it’s usually a good idea to check out reviews from other customers to get an insight into what you can expect.
The good news is that Infusionsoft does give you advice on how to improve your delivery rates. However, you cannot set up a dedicated IP address to send emails and avoid the impact of a poor IP reputation.
Substandard email templates
Infusionsoft isn’t an email marketing platform, so it’s bound to have limited email functionality. However, the models seem pretty sub-standard at best.
They’re easy enough to set up, but if you’re looking for state-of-the-art content, you won’t get it here.

1. Look for Bottlenecks in Your Organisation
The whole point of CRM is to streamline your business performance and enhance productivity. With that in mind, you need to find out what’s bottlenecking your company before you start the hunt.
For instance, visual reporting is great on Infusionsoft, but you can only look at the stats over the last 24 hours or 30 days. There’s nothing in between.
If you want a more comprehensive overview of how your campaigns are performing, then you might need to consider alternatives like ActiveCampaign instead.
Additionally, Infusionsoft has one of the most compelling reports for lead source ROI tracking on the market. However, the tracking tool that’s designed to grab contact lead sources is less than perfect.
The system tracks mobile referrals differently to desktop referrals, which can cause some confusion.
2. Prioritize User Experience
Just having the right features for your CRM solution isn’t enough. Your employees (and you) will need to work with your CRM every day – so you’re going to need to make sure it feels good to use. Adoption and experience are paramount in any software decision these days.
For instance, the tags in Infusionsoft let you get super granular about how you want to segment your database.
They’re great for managing your clients, and you can even give each of your customers their own unique lead score.
On the other hand, the UI isn’t always as intuitive as it could be. Adding a note to a contact seems to take a few clicks at least, and any extra time on a CRM adds up in the long-term.
Even adding tags and tasks is a little bit complex when you get down to it. Infusionsoft would benefit from merely upgrading their UI strategy.
3. Request a Demonstration and Test Drive
No matter how great the reviews and testimonials are, you should never take a CRM at face value. The best way to get started is to test it out. Infusionsoft does offer a free demo – which is how we started getting a feel for the system.
However, it’s not super immersive. In fact, I found that I couldn’t do much with the software at all just by using the “free” version.
If you click on the “Online Demo” option, you’ll get a handful of slides that tell you a small amount of information about each feature and nothing else.
The video demonstration isn’t much better. It seems as though you need to download the service before you can get a feel for what it’s like.
I honestly would have preferred an opportunity to play around with the Infusionsoft campaigns, and see what it felt like to use the system first-hand.
On top of that, for the days that I had access to the free trial I was constantly hounded with phone calls three or four times a day from the Infusionsoft team, asking me to upgrade.
It felt like the only real way I could learn about the tool was to pay to subscribe. So much for try before you buy.
Our advice is to go for the Live demonstration if you have the time, where a salesperson can walk you through what the software does.
If you’re going to be paying hundreds of dollars a month for a service, and several hundred just to set the system up, you need to know you can use it.
One valuable thing about Infusionsoft? If you ever get lost with the program, there’s a great community out there to help you. You can find Infusionsoft user groups all over the world offering advice and guidance.
For instance, say you wanted to ask about how to use the Infusionsoft API as a developer. Maybe you want to access a user token without using Oathflow, there are plenty of people to assist with that.
However, if your question is a bit too complicated for the community, you’ll be waiting a long time for the Infusionsoft team to find your queries online. You’ll have to call the team instead and ask for specialist help.

ActiveCampaign is by far one of my favorite marketing tools on the web.
It’s not one of the most advanced CRMs in the world, but it delivers pretty much everything you need to get started with email automation and consumer contact.
Pro tip, from my personal experience, you can’t do anything with eCommerce on ActiveCampaign – it seems to be more for email than anything else.
However, you can integrate a third-party payment provider into ActiveCampaign through Zapier. Don’t worry; it’s easy enough to do.
ActiveCampaign is a lot cheaper than Infusionsoft. Basic plans start at $199 for Infusionsoft, compared to $49 a month for the “plus” option on ActiveCampaign.
What’s more, ActiveCampaign also has a nifty “logic-driven” lead nurturing function that tracks the interactions you make with customers. While Infusionsoft allows you to automate your pipelines and set up sales strategies based on marketing reports, it’s not quite as dynamic.
ActiveCampaign makes active suggestions about how you should nurture your leads, while Infusionsoft requires you to have the digital marketing insight needed to make your own choices:
We’d recommend ActiveCampaign over Infusionsoft if you:
- Have a smaller budget to work with
- Want a more dynamic logic-driven lead nurturing strategy

- Don’t need as much of an immersive CRM, and work more commonly with email
- Don’t need to take payments through order forms or carts – for instance, if you’re a digital marketing consultant, law firm, real estate agent, etc.
Once again, a big difference between Hubspot and Infusionsoft is the pricing. HubSpot’s entire “Growth Suite,” which includes the Marketing, Sales, and Service Hub is a lot more expensive than Infusionsoft.
Packages start at $1050 per month for the Professional package. However, you also get an incredible number of features, including ticketing and customer service automation, meeting booking bots, and phone support. You don’t get any of that with Infusionsoft.
Additionally, Hubspot is excellent when it comes to content creation too, with a website and blog platform you can use to enhance your marketing strategy.
We don’t like the Hubspot blog platform as much as other free options like WordPress, but it’s ideal if you want everything you need to run your business in one handy package.
On the other hand, you can also download a free version of Hubspot’s specific CRM system for free. Here, you can manage things like email tracking, contact activity, and conversational bots, without paying for the rest of the services. It’s free, so you’re only getting the basics, but that might be enough for some users.
Just like with Infusionsoft, you can manage and nurture your prospects. What’s more, I’d say that the contact dashboards are a lot smoother on Hubspot.
The visual deal pipeline gives you real-time reports on your entire sales funnel, whether you’re connecting with contacts via, email, phone, or social media.
However, it’s not as easy to track sales totals and accounts receivable on Hubspot as it is on Infusionsoft.
We’d recommend Hubspot over Infusionsoft if you:
- Need a more immersive, visual UI
- Want to log every activity automatically
- Want to combine your CRM with your blogging and content creation strategy
- Need access to a fuller marketing suite, complete with SEO (Infusionsoft only offers keyword and meta-data fields)
- Have a bigger budget

Mention the term “CRM” to anyone, and someone’s going to respond with the word “Salesforce.” The name is one of the biggest in the world for sales and marketing management.
Based on the cloud, Salesforce offers a range of package options, including out-of-the-box CRM essentials for five users or less, and “Unlimited” for endless power and support.
Unlike Hubspot and ActiveCampaign, Salesforce focuses more on giving you an overview of your sales than making sure you can maximize your connections with customers. One thing that makes this tool stand out over Infusionsoft is how customizable it is.

The only problem with all this personalization? It makes the whole experience way more complicated to manage.
Infusionsoft is excellent for building campaigns in an effortless and straightforward way. Although it’s reporting and UI might leave something to be desired, at least you can browse through your details without getting a headache.
If you haven’t had any prior Salesforce training, then just looking at all the options is probably going to give you a problem.
The dashboard is very cluttered, which means that if you’re looking for specific information, it’ll take a while. It took me about twenty minutes just to find the right dashboard to track new leads.
Salesforce’s greatest strength is also its weakness. Sure, it’s a very robust CRM solution, but it’s not a good choice for people who want an easy way to track their customers and sales.
We’d recommend Salesforce over Infusionsoft if you:
- Have prior trailhead training
- Need a lot of predictive intelligence tools and tabs
- Want a complete platform for customer data
- Need a tool that integrates with practically anything
- Like the idea of a customizable dashboard
4. Agile CRM
Agile CRM is another sales and marketing management tool based on the cloud. It comes with a host of fantastic features straight out of the box, including sales, web engagement tracking, and customer service.
The dashboard is very clean and straightforward, which gives it a massive tick in our book. After all, it’s much easier to make the most of your sales opportunities when you can see what’s going on.
You can even set up your deals according to milestones or look at your percentage of recently opened emails. It feels very similar to Infusionsoft when you’re working through it – although maybe a little bit more playful and modern in the design.
Managing contacts on Agile CRM is a lot easier too because you can drag and drop the Contacts interface onto your main dashboard. You can also remove any features that you don’t think are necessary, which is nice.
Things like the calendar and the company records segments on Infusionsoft seem a bit unnecessary. The company records are just confusing to use, and the calendar doesn’t sync with things like Google and Outlook, so it’s hard to schedule anything with your peers.
The Sales Pipeline services on Infusionsoft are great for helping you find the best path to closing your deals, but there’s something a lot more compelling about the option to track your performance according to specific goals and milestones on Agile CRM too.
It’s really helpful for motivation. Not to mention, the gamification features can help to keep your teams engaged also.
However, Agile CRM is a lot easier to access on a desktop than a smartphone. Infusionsoft does give you more devices to choose from.
We’d recommend Agile CRM over Infusionsoft if you:
- Want to be able to track your performance according to goals and milestone
- Appreciate easy calendar sharing and gamification for your teams
- Like a clean and customizable dashboard with drag and drop functionality
- Want to make sure that your contact info is accessible at any time
- Don’t use your CRM software often from mobile devices.
Finally, designed for companies who need to put security first, Ontraport is a unified platform for handling sales, marketing, and information in your workforce. For those interested in privacy, Ontraport is GDPR- regulated, and privacy-shield approved.
Structure-wise, it’s the closest in format to Infusionsoft. The features that you get from both tools are very similar, and the pricing is on par too, which means that you won’t have to quibble over pennies.
Ontraport claims to be an all-in-one marketing and business automation program. Some buyers suggest that an “all in one” service is also “master of none” – in other words, there are no specialist features.
However, the fundamental solutions you get with Ontraport are enough for most companies. You can manage all of your content in the same hub and personalize your user experience. There’s also the option too important and update contact data lists from anywhere.
Ontraport also automatically collects all of the information from prior customer conversations to build contextual profiles for your team. If you don’t like building visual campaigns with Infusionsoft, then Ontraport offers an alternative solution through text-based rules.
Essentially, everything ends up looking like a flowchart, which may be much easier for some business leaders to follow.
There’s also filtering options, which allow you to give individualized experiences to each user in your campaign – but you can achieve a very similar effect with segmentation options on Infusionsoft.
Also, we personally find that the billing and quoting features on Infusionsoft are much easier to use. Infusionsoft can enable payment processing, whereas Ontraport cannot.
